This is especially true in Western New York, and here's why.
The WNY Wedding Season Is Real and It Is Competitive
Buffalo and Rochester aren't year-round markets the way some cities are. While winter weddings are having a moment (more on that in another post), the overwhelming majority of WNY couples get married between May and October. That's six months. And within those six months, Saturday dates in September and October are the most in-demand — by far.
When hundreds of couples are competing for the same roughly 25 or so peak-season Saturdays, the best vendors fill up. Fast.
What "Booked Out" Actually Looks Like
Here's a concrete example. A photographer who shoots 20 to 25 weddings a year can only take one booking per date. If they're as good as they should be for what you're paying, they probably have couples reaching out 12 to 18 months in advance for those fall Saturdays. By the time you start looking nine months out, several of your top choices may already be unavailable.
The same applies to venues — arguably even more so, since most venue can only host one wedding at a time. Popular spaces in the Buffalo area have wait lists. Some are booking 2+ years out.
DJs who are known for keeping the dance floor alive, florists with a distinctive style that's all over Instagram, hair and makeup artists with a cult following among WNY brides — they all have limited capacity and they fill it.
The Vendors People Most Often Wait Too Long to Book
Based on what we see and hear from WNY couples, these are the categories were waiting tends to cause the most stress:
Photographers. The most talented photographers in the market book the fastest. Start here right after the venue.
Venues. Book before you do anything else. Your date cannot be confirmed until it is.
DJs and bands. Live music especially — there are fewer bands than there are DJs, and the ones who are worth booking are busy.
Hair and makeup. If you have a large bridal party, you need an artist with availability for multiple people across a long morning. Those artists book up.
Florists with a specific aesthetic. If you've been saving a particular florist's work on Pinterest for six months, other couples have too.
What to Do Right Now
If you have a date in mind — even a season — start reaching out to vendors now. You don't have to have everything figured out. You don't even need to have your budget fully locked. Initial inquiries cost nothing, and they give you a sense of availability before you fall in love with someone who's already booked.
Most vendors are genuinely kind about this. They'll tell you when they're available, give you a sense of their pricing, and let you know if they'd be a good fit. The worst thing they can say is that your date is already taken — and it's much better to know that early.
